Set up a clear process for online coaching

WORKOUTS WIZARDINSIGHT FOR YOUR NEXT STEP ↘

In online coaching, clients must know what is expected between contact moments too. A consistent process prevents scattered plans, unclear questions and differing expectations about responses. Start with the process you want to follow together.

Describe the route from intake to review

Write the steps of your coaching in plain language: introduction, discussing starting points, making the plan available, recording workouts and reviewing together. At each step, name who does what and what is needed to move on.

For example: after the intake, the client receives an explanation of the current plan. The client records workouts and notes questions. You review that information according to the agreed process and discuss possible changes. This sequence reveals where a handover can go wrong.

Make availability and feedback concrete

Record where clients ask questions and how you provide feedback. State when you review information and which questions are better handled in a conversation. Avoid broad promises such as always available if your organisation cannot support them.

  • Where do questions about an exercise go?
  • What context do you expect with a question?
  • When do you give feedback?
  • How does the client learn that a plan has changed?
  • What happens if a record is missing?

A question including the workout, exercise and specific uncertainty is easier to address than a standalone message saying it does not work. Give clients one simple example of a useful question.

Keep the current version recognisable

When plans are shared through multiple documents and messages, the current version may become unclear. Choose one recognisable place for the current plan and explain changes. State what changes and when the client starts using the change.

Keep completed workout records as history. An adjusted plan must not obscure what actually happened previously. In Workouts Wizard, you can use plans, workout records and coach feedback within your coaching. During setup, check how your agreements fit the client’s actions.

Test the process through a new client’s eyes

Review your instructions as though someone has never had online coaching. Can the client independently find the right plan, know what to record and understand when contact follows? Ask where the explanation is unclear and improve that step before adding more exceptions.

Explore the options for personal trainers and first build a small, complete client journey. A consistent process gives every client the same foundation while keeping the coaching content personal.

Make your weekly coaching cycle visible

A clear service cycle tells the client what happens between sessions. Set a routine that fits the service you actually provide. The following is a fictional arrangement to adapt, not a promise that every coach checks messages daily or that software sends these messages automatically.

MomentClient actionCoach action
Before the training weekCheck the plan and flag practical scheduling problems.Explain the current plan and any agreed change.
After a sessionRecord the relevant training details and one specific question if needed.Review information at the agreed service moment.
At the check-inExplain what worked and what got in the way.Clarify the problem before deciding whether to adjust the plan.
After a changeConfirm which version will be used next.Record what changed, why and when it takes effect.

Handle missing information without guessing

An empty training log does not tell you whether someone skipped a session, forgot to record it or could not find the right screen. Ask a specific question before changing the programme. For example: 'I cannot see Tuesday's session. Did you train, and was the recording step clear?'

If the same practical problem recurs, review the process itself. A client who repeatedly uses an old plan may need a clearer route to the current version. Sending another generic reminder will not explain which version is correct. Keep the response tied to the actual obstacle.

  • Agree on who covers planned coach absence and tell the client before the handover.
  • Make response expectations specific; do not suggest constant monitoring unless that is actually provided.
  • Separate routine training questions from matters that need a direct conversation or appropriately qualified help.
  • Review the communication arrangement as well as the training plan when you evaluate the service.
