TRAINING & COACHING

Coach gym members with a recognisable training plan process

WORKOUTS WIZARDINSIGHT FOR YOUR NEXT STEP ↘

After the introductory conversation, a member must still know where the plan is and how questions are handled. For a gym, this requires a recognisable process. Clear handovers help staff explain the same expectations.

Map a new member’s route

Describe what happens from the first coaching moment. Who discusses the starting points, who explains the plan, and how does the member know when follow-up happens? Focus on moments when information passes from one person to another.

An example route is: introduction, explaining the plan, checking first use and arranging follow-up. The exact details depend on your service. Only promise coaching your team can provide within that service. An app does not automatically change the amount of personal attention agreed.

Make the basic explanation recognisable

Prepare a short introduction every involved trainer can use. Show members where the current plan is, how to record a workout and how to ask a question. Then let the member open the next workout independently.

  • Who is the contact for plan questions?
  • Where is the current training plan?
  • What recording is expected from the member?
  • How are changes explained?
  • When does the agreed follow-up take place?

The same basic explanation need not mean identical coaching. It provides a shared starting point while trainers tailor the content within their roles and agreements with the member.

Organise handovers within your existing process

If several staff are involved, agree where they record necessary arrangements and who is responsible for follow-up. Check which access and features your systems actually offer. Do not assume shared team functions without checking them.

Prevent members having to explain again at the next appointment which plan they mean. A clear workout name and recognisable date or change note help the conversation. Handle personal data according to existing agreements and limit notes to what coaching requires.

Assess the process through concrete problems

Ask trainers which explanations they repeat often, and members where they get stuck. Can the member find the right plan? Is it clear who handles a question? Use these signals to improve one step before adding forms or procedures.

Explore Workouts Wizard for gyms to assess how plans, exercises and workout records fit your coaching. Start with a clear route for the member, then adapt the software and working agreements to it.

Example of a team handover

  • Intake: the responsible trainer records the purpose of coaching and the follow-up time.
  • Explain the plan: the coaching trainer lets the member open the correct plan independently and checks which questions they have.
  • First use: the agreed contact asks whether the member could find and record the workout.
  • Follow-up: the trainer at the follow-up appointment reviews available records and discusses outstanding questions.

These are example responsibilities, not a statement about software access rights. Check who can actually view which data. Use the gym software checklist to test the handover in a demo.
