You do not have to change every plan and client agreement at once. Start with one existing plan and check the entire process from entering it to using it. This helps you discover what guidance is needed before introducing the new way of working more widely.
1. Review one existing plan
Choose a current plan whose content is clear. Compare the workout names, exercise variations, order and associated instructions. Mark abbreviations that only you understand and check which details the client currently records on paper.
Distinguish between the current plan and old workout records. Your first aim is to transfer the plan into a usable form. Decide separately which history you want to keep and where it will remain available. Do not assume there is an automatic import for paper plans or earlier files.
2. Recreate the plan and check the display
Build the plan in the training plan editor. Then compare it with your original version. Are the exercise names, variations and order correct? Are the instructions understandable without the original paper copy?
Next, check how the client sees the plan in the app. An overview that is clear to you may be read differently on a phone. Also go through the recording process: what should the client enter, and where should they send questions?
3. Try the process with one client
Ask a willing client to try the new process with you. Explain what is changing and let the client open the plan themselves. After they have used it, check which actions were clear and where guidance was missing.
Agree on a date when the digital plan becomes the current plan. Mark the old version as superseded from that date, so there are no two competing plans. Keep historical records clearly identifiable as history.
4. Apply feedback before moving on
Discuss whether the client could find the right workout and record what they did. Adjust unclear names or instructions and check the revised version together. Record how you will communicate future changes.
